Privacy Policy

This privacy policy explains what personal data Kaviyan collects when you use the Kaviyan AI video editor, visit this website or work with Kaviyan Studio. It also sets out how we use that data, how long we keep it and the choices you have.

1. Who we are and what this policy covers

Kaviyan makes an AI video editor: five AI agents (Cut, Hue, Nova, Echo and Flow) that work inside the editing software you already use. Kaviyan Studio is the services group inside the same company. When this policy says we or us, it means Kaviyan.

We are responsible for the personal data described here. If an employer or a client invited you to a workspace, that organization decides how the workspace is used, and we handle its content on its instructions.

Kaviyan is built for professional use. It is not meant for children, and we do not knowingly collect their data.

2. Personal data we collect

We collect what you give us, what the product needs in order to work and a small amount of technical data.

• Account details: your name, work email, company, role and sign-in details.

• Workspace content: the footage, project files, audio, brand kits and templates you upload or connect through Editor Sync.

• Prompts and briefs: the sentences, scripts and templates you use to brief the agents, and the cuts, grades, shots, mixes and titles they produce.

• Usage data: the agents and features you use, export activity, device and browser type, and error logs.

• Billing details: your plan, invoices and billing address. Payments are handled by our payment provider, and we never store full card numbers.

• Messages: what you send us through the contact form, by email or during a studio engagement.

3. How we use your data

We use personal data to run the product and for a short list of related purposes.

• To provide the service: running the agents on your timeline, syncing with your editor and exporting your videos.

• To keep accounts and content secure, and to prevent abuse.

• To bill for paid plans and studio work.

• To answer your questions and send notices about your account.

• To understand how the product is used, so we can fix and improve it.

Depending on the purpose, we rely on our contract with you, our legitimate interest in running a secure product, your consent or a legal obligation. We send product news only if you ask for it, and every such email has an unsubscribe link.

4. Your footage, prompts and AI model training

Your footage, project files and prompts are processed to do the work you ask for, and for nothing else. Cut, Hue, Echo and Flow work on the clips in your own project. Nova uses your prompt, and any reference frames you choose, to generate a shot.

No model training on your content by default

Your uploads, prompts and generated shots are not used to train AI models that serve other customers. A workspace owner can opt in to share content for training and can turn that setting off again at any time. It is off by default on every plan: Free, Creator, Studio and Scale.

Style learning stays in your workspace

When the agents learn your style from past projects, that style profile belongs to your workspace. It is not shared with other customers, and it is deleted with the workspace.

Who can see your content

Our staff do not look at your content unless you ask for help with a specific project, we need to fix a fault you reported, or the law requires it. That access is logged and limited to the people who need it.

5. Who we share data with

We share personal data with a short list of service providers that host the product, process media, send email and take payments. Each one works under a written agreement, may use the data only to provide its service to us and must protect it.

We also share data when the law requires it, or with a successor if Kaviyan is reorganized or sold, on the same terms as this policy. We do not sell personal data, and we do not share it for advertising.

Transfers to other countries

Some providers operate in countries other than yours. When personal data leaves your country, we use the contractual safeguards the law calls for.

6. How long we keep data and how we protect it

We keep account data for as long as your account is open. When you delete a project or close a workspace, its content is removed from active systems within 30 days and from backups within 90 days.

• Footage and project files: until you delete them or close the workspace.

• Prompts and generated shots: kept with the project they belong to.

• Usage and error logs: up to 12 months.

• Invoices and billing records: for as long as tax and accounting rules require.

Data is encrypted in transit and at rest. Access to production systems is limited, logged and reviewed. No system is perfectly secure, so if a breach affects your data, we tell you and the relevant authority without undue delay.

7. Your privacy rights

Depending on where you live, you have some or all of these rights over your personal data.

• Access the personal data we hold about you.

• Correct anything that is wrong or out of date.

• Export your projects and account data in a common format.

• Delete your account and its content.

• Object to, or restrict, certain processing.

• Withdraw consent you have given, including consent to model training.

To use any of these rights, write to viyako.designs@gmail.com. We reply within 30 days and do not charge for a reasonable request. If our answer does not settle the matter, you can complain to the data protection authority where you live.

8. Cookies

This website and the product use a small number of cookies.

• Essential cookies keep you signed in and remember your settings. The product cannot run without them.

• Analytics cookies show us which pages and features are used. They are set only if you accept them.

We do not use advertising cookies. You can change your choice at any time in your browser settings.

9. Changes to this policy and how to contact us

When we make a material change, we update the dates at the top of this page and email workspace owners at least 14 days before the change takes effect. Earlier versions are available on request.
